Unlike most European countries at that time, in the Republic of Dubrovnik the authorities would make decisions on recruitment of soldiers, formation of military units, and armament of fortresses and ships. The maintenance of fortifications, soldiers, weaponry, ammunition, and everything else related to military affairs was overseen and managed by three senators (noblemen) so called proveditori delle guardie. On the other side, four other senators oversaw the recruitment and payment of soldiers for the Republic. According to the data, five senators were responsible for the security of the city of Dubrovnik, but they also monitored the condition of fortifications in a nearby Ston.

The fonds has been linked to the archive since its inception. In the time of the Republic, the books of the fonds were stored in the premises of the Rector's Palace. This archival material remained in the Palace even after the fall of the Republic in 1808. By 1891 the archives were consolidated and were made available to researchers. The archive in the Rector's Palace has been functioning as an independent institution since 1920, and it was relocated in 1952 to the Sponza Palace, where it is still located today.

There are no references to Jewish people in the fonds.
The documents of the fonds consist of an inventory of weaponry and ammunition, a list of soldiers, a list of foreigners in the Dubrovnik military service (barabanti), some documents with cost estimates for purchase of weaponry, payment of military salaries, or maintenance of fortifications and warships. The registers cover the period from the 16th century to the beginning of the 19th century.

The fonds is fully accessible to researchers in accordance with the Ordinance on the work in the reading room of the State Archives in Dubrovnik and the Law on Archival Materials and Archives NN 61/18 (Pravilnik o radu u čitaonici Državnog arhiva u Dubrovniku and Zakon o arhivskom gradivu i arhivima NN 61/18).
